Project Overview

The Langham Boston partnered with Lodging Kit Company to support a complex in-room OS&E installation requiring detailed coordination, phased delivery scheduling, and room-specific organization across a multi-floor luxury property.

Located in the heart of downtown Boston, the project presented unique logistical challenges including limited onsite storage space, restricted delivery access, and the need to coordinate closely with both hotel leadership and the installation team. Lodging Kit Company provided a complete Room in a Box® solution, managing the receiving, organization, packing, labeling, palletization, and delivery coordination for all in-room bedding and décor components.

The project included 312 guestrooms across seven different room types spanning nine floors. Depending on room configuration, guestrooms received either two-box or three-box Room in a Box® kits, each carefully organized and labeled by room number, floor number, room type, box sequence, and detailed contents.

Room in a Box® Process

Lodging Kit Company consolidated and organized all products into install-ready kits designed specifically for efficient in-room deployment. Each box label clearly identified:

  • Property name
  • Purchase order number
  • Room number
  • Floor number
  • Room type
  • Box sequence
  • Detailed item contents

The project utilized a color-coded labeling system to simplify installation workflows and reduce field confusion. Different room types were assigned distinct label colors, allowing installers to quickly identify the correct kits during deployment.

Every pallet was also labeled externally by floor number to streamline warehouse staging and final distribution throughout the property.

Coordinated Delivery & Installation

Due to the urban location and limited receiving capacity at the hotel, the project required carefully coordinated box truck deliveries over four separate installation days. Lodging Kit Company partnered with Michael’s Moving & Storage to execute final delivery and in-room placement throughout the property.

Installations were completed floor-by-floor beginning with the upper levels and progressing downward through the hotel. This phased delivery strategy minimized congestion onsite while ensuring installation teams always had the correct product staged and ready for deployment.

Across the project, Lodging Kit Company coordinated:

  • 43 pallets
  • 643 total boxes
  • Over 22,000 pounds of product
  • Multi-day phased installation scheduling

Overall, we delivered all items including attic stock directly to the Waldorf Astoria in 7 deliveries over a span of 3 months. Our project manager, Emily Mir, was able to visit the property for the first delivery to ensure onsite accuracy in unloading and assist however was needed. The first delivery of 12 pallets was unloaded from the truck, unpacked from the pallets, and delivered directly to the rooms in 35 minutes, creating a very smooth transfer and plenty of time saved on multiple fronts.

“Working with Lodging Kit for the past 3 years has provided great support for our projects. The service received from Emily Mir and Team is unparalleled, they understand needs of the hotels, they communicate efficiently and timely making it easy to react before a challenge is unmanageable. Additionally, they are flexible and able to pivot to the clients ever changing delivery target. The smart packs received by the operating team have always been followed by multiple praises.
